Your space will be reserved for 3 days of exhibiting; Friday, Saturday, and Sunday

Fee: $15.00 per table (limit 2) per organization for the weekend

Deadline for reservations is November 15, 2023.

Loading instructions and parking locations/map will be emailed prior to the conference. Links to this online information will also be provided once we have your Exhibitor’s Contract back.

If you are a speaker, or have already registered for sessions, choose one of the "table only" options.

The following rules and regulations shall constitute part of this contract and the exhibitor agrees to abide and conform thereto:

1. Each exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of injury to persons or damage to exhibitor’s displays, equipment, or other property brought upon the premises of the Holiday Inn Lancaster and agrees to indemnify, defend, and hold harmless Pennsylvania Association of WildlifeRehabilitators (PAWR), Holiday Inn Lancaster and its owners, agents, and employees against all claims or expenses for such losses, including reasonable attorney’s fees, arising out of the use of the center premises, excluding any liability caused by the negligence of PAWR or the Holiday Inn or its owners, agents, and employees.
2. The exhibitor understands that neither PAWR nor the Holiday Inn Lancaster maintains insurance covering the exhibitor’s property or lost revenue and it is the sole responsibility of the exhibitor to obtain such insurance.
3. Each exhibitor must register for the symposium so that a conference name badge can be created.
4. Each exhibitor will be provided with a single (or two if requested), skirted six (6’) foot table(s). Electric is NOT available. Displays must be contained to the table area assigned. You are encouraged to bring a sign or banner to hang on the front of your table to identify your group.
5. The exhibit area will be available for set up of exhibits on Friday, December 1 at 7:00 am. Your exhibit must be removed from the exhibit area by 4:00 pm on Sunday, December 3, 2023.
6. Exhibitors must conform to the fire regulations of the City of Lancaster and the regulations of the Holiday Inn Lancaster.
7. Moving exhibit items into and out of the center is the sole responsibility of the exhibitor. You are encouraged to bring your own cart as the hotel buttle carts are reserved for the hotel guests.
8. Anything not covered in this contract is subject to the decision of the PAWR.
9. No live animals (pets or wildlife) are allowed in the Holiday Inn Lancaster building during the PAWR Conference, except by advance permission of PAWR and the Holiday Inn Lancaster.

ANYONE FOUND IN VIOLATION OF THIS POLICY WILL BE ASKED TO LEAVE THE CONFERENCE IMMEDIATELY,
WITH NO REFUND OF MONIES PAID.
